Administrative Coordinator

The Administrative Coordinator is an independent contractor/consultant who reports to the Association for Conflict Resolution of Greater New York’s (ACR-GNY) Executive Board and serves as the backbone of ACR-GNY's administrative and operational functions. This role engages in day-to-day communications, coordinates organizational processes, monitors and updates membership systems, and ensures seamless execution of the Association’s programs, projects, and initiatives. The Administrator works cross-functionally with the Board, staff, sponsors, members, and external partners to support the organization's mission and strategic priorities.

Some representative responsibilities are as follows.

Employment Details

Employment Type: Independent Contractor/Consultant
Reports To: ACR-GNY Executive Board
Location: Remote (with occasional in-person attendance at NYC-based events)
Hours: 6–10 hours per week (part-time, primarily flexible schedule)
Compensation: $35–45 per hour

Core Competencies & Traits

ACR-GNY is highly collaborative; thus, motivation, strong interpersonal skills, and accountability are necessary to succeed in this role. As the Administrator, you will engage in work requiring a high level of attention to detail, organization, and independent initiative. You are comfortable with technology, responsive in communications, and take pride in enabling an organization to operate smoothly and serve its community effectively.

Organizational & Board Support

  • Serve as Board Secretary: draft, organize, and maintain Board meeting minutes, annual meeting minutes, corporate documents, and official communications in compliance with bylaws and applicable laws

  • Manage Board communications: send monthly meeting notices, agendas, and reminders; collect RSVPs and maintain attendance records

  • Post approved minutes to the website and distribute formal notices to members as directed by Board leadership

  • Set up and manage Board member email addresses and coordinate secure access to ACR-GNY shared documents and systems

  • Attend committee meetings and support Board activities as requested

  • Track duties related to ACR-GNY's affiliation with the national Association for Conflict Resolution

  • Assist with prospective Board member interviews and prepare voting materials for Annual Members Meetings

  • Other duties as necessary to effectuate the mission

Membership

ACR-GNY has more than 250 active members representing a diverse cross-section of the conflict resolution community. As a professional association, we aim to provide best-in-class support to our members by responding promptly to inquiries and proactively identifying opportunities to deliver greater value.

  • Maintain and update the Wild Apricot database, overseeing quarterly data cleanup and accuracy audits

  • Send membership renewal reminders and onboard new members with welcome materials

  • Provide timely, professional support to members seeking assistance

  • Generate and distribute monthly membership reports with key metrics and trends

  • Work closely with the VP of Membership Committee to coordinate member appreciation initiatives and retention strategies

  • Monitor membership trends and recommend improvements to member value and engagement

Website & Communications

ACR-GNY communicates with both members and the general public through our website, mailing lists, social media accounts, and email. The Administrator supports these channels by creating and maintaining professional, accurate, and timely communications.

  • Maintain and update content on the ACR-GNY website, including upcoming events, membership information, resources, sponsorship opportunities, and practice group details

  • Assist with hosting and promoting the Resolution Roundtable Blog

  • Create and schedule email announcements and member invitations

  • Manage ACR-GNY social media platforms with a collegial, professional tone

  • Monitor group email accounts and respond or direct inquiries appropriately

  • Monitor industry listservs (e.g., NYC-DR) to identify member engagement opportunities

  • Create and manage digital advertising (e.g., Google Ads) as directed

  • Maintain a collegial and professional tone in all communications, and exercise discretion when engaging with content created by other entities

Programming & Events

ACR-GNY hosts numerous programmatic events throughout the year, ranging from virtual Zoom sessions to in-person conferences in New York City. The Administrator plays a critical role in planning, coordinating, and executing these events.

  • Assist with planning and executing the annual conference; attend the entire event and coordinate logistics for in-person components

  • Assist in planning and executing Mediation Settlement Day, the Annual Members Meeting, and ongoing ACR-GNY initiatives including Practice Groups, President's Forums, Resolution Roundtable discussions, and the University Student Ambassadors program

  • Manage event registration, sign-ins, encourage membership applications, and answer attendees' and speakers' questions at remote and in-person events

  • Solicit, organize, and maintain all required materials from speakers and honorees

  • Work with Communications and Conference Committees to produce promotional materials and create marketing campaigns

  • Liaise with vendors (photographers, caterers, AV providers, etc.) and manage event timelines

  • Ensure appropriate documentation and compliance for programs offering Continuing Legal Education (CLE)

  • Coordinate and train volunteer support for virtual sessions; connect with speakers to troubleshoot technical issues during events

  • Order event materials as needed (trophies, name badges, signage, promotional items)

Sponsorships & Partnerships

ACR-GNY sustains its ambitious programming by partnering with a variety of organizations, including government, educational, and service providers.

  • Maintain active relationships with annual, conference, and event sponsors

  • Ensure appropriate and timely delivery of all promised sponsor benefits

  • Identify and cultivate new sponsorships aligned with ACR-GNY's mission and values

  • Update website with current sponsorship information as directed

Financial Administration

As a nonprofit professional association, ACR-GNY continues to be a responsible steward of funds received from dues, donations, and sponsorships. The Administrator supports this mission through careful record-keeping and financial tracking.

  • Update database with income and expense information

  • Collect and retain receipts and documentation from vendors

  • Assist the Treasurer and Executive Board in monitoring revenue and expenses

  • Support regular financial reporting and transparency initiatives

Required Qualifications and Competencies

  • Ability to work independently, take initiative, and thrive in a collaborative team environment

  • 2+ years of administrative or operations experience in a nonprofit, professional association, or similar collaborative organization

  • Experience planning and coordinating events and managing logistics

  • Experience with Zoom or other virtual meeting platforms

  • Comfortable with technology and ability to troubleshoot basic technical issues

  • Excellent written and verbal communication skills; ability to draft professional correspondence, announcements, and organizational documents

  • Strong organizational and project management skills; ability to manage multiple priorities and meet deadlines consistently

  • Proficiency with Google Workspace (Docs, Sheets, Drive) and social media platforms

  • Reliable, responsive communication style with diverse stakeholders (Board members, members, vendors, the public)

Preferred Qualifications and Competencies

  • Proficiency with membership management software (Wild Apricot preferred, or similar systems)

  • Background or interest in conflict resolution, mediation, or alternative dispute resolution (ADR)

  • Familiarity with nonprofit board governance, bylaws, and corporate compliance requirements

  • Knowledge of Continuing Legal Education (CLE) compliance and requirements

  • Experience with digital marketing tools (Google Ads, social media management)

  • Background in nonprofit fundraising or sponsorship development

(ACR-GNY) is an individually incorporated nonprofit organization and a regional chapter of the Association for Conflict Resolution.
